Universities and institutes are complex organisations with many projects running simultaneously. From research initiatives and grant applications to campus renovations and student events, successful project management is critical to success. .
We conducted interviews with RedmineUP customers in the education sector to identify common use cases and understand the key benefits they derive from using Redmine. These insights will help us better understand the unique needs of educational institutions and refine our offerings to serve them more effectively. This post summarises our key findings.
Support Student Success
By incorporating Redmine into various aspects of the academic process, universities can create a more stable, collaborative and supportive learning environment that empowers students to achieve their academic goals.
For example, faculty can use Redmine to manage course projects, assign tasks, track student progress and facilitate peer feedback. Students can use it to organise their coursework, collaborate on group projects and access relevant resources.
Since 2019, RedmineUP has provided us with access to their suite of products, which have greatly helped our engineering efforts. Specifically, RedmineUP's Agile plugin has helped work out "sprints" and "weekly progress updates" for student efforts. We use Redmine for project management of CFL, and have students use the Agile plugin to keep track on tasks.
It also allows course instructors to better visualize task completion, and organize by subsystems/important tasks that need to be completed. The Checklist plugin also extends our use of Redmine greatly, by adding intermediary tasks straight to a ticket in a clean UI fashion. We truly appreciate RedmineUP!

Improve Campus Operations
Redmine can significantly improve campus operations by streamlining various administrative tasks and fostering better communication and collaboration between different departments.
For example, facilities management teams can use Redmine to track maintenance requests, schedule repairs and monitor the progress of ongoing projects. This centralised system increases efficiency and reduces response times to facilities issues.
Procurement departments can also use RedmineUP Invoice plugin to manage purchase orders, track vendor performance and ensure compliance with university policies. This improves the transparency and efficiency of the procurement process, resulting in cost savings and reduced administrative burden.
Boost Administrative Efficiency
By providing real-time data and project insights, Redmine empowers decision makers with the information they need to make informed decisions. This data-driven approach leads to more effective resource allocation, improved project outcomes and a more efficient and responsive campus environment.
By leveraging Redmine's flexibility and customisation options, organisations can align their IT service delivery with ITIL best practices and improve overall efficiency.
To facilitate communication between the university community and IT support services, we developed an IT Helpdesk system that creates tickets in Redmine using the Redmine API. Using Helpdesk plugin, we access all relevant user information and ticket descriptions in one place to resolve and respond to the issue as quickly as possible.
Overall, our experience with RedmineUP has been very positive, and the solution has become a critical component of our operations.

Manage Deadlines, and Budgets
By creating projects within Redmine for each research initiative, teams can track progress, assign tasks to individual researchers and set clear deadlines for deliverables. An Agile board or Gantt chart helps to visualise progress. This ensures that all team members are aware of their responsibilities and that the project stays on schedule.
Redmine's Gantt chart is not the only option. The Resource plugin clearly shows which tasks people are working on, how much free time they have, and who is overloaded.
Enhance Research Collaboration
University teams often participate in research projects with teams from other universities. In this case, there is an option to run a separate Redmine account in the cloud to track progress.
Using features such as shared calendars, file repositories and discussion forums, researchers can easily communicate and collaborate on research projects regardless of their location.
This fosters a more efficient and productive research environment, leading to faster progress and more impactful results.
RedmineUP serves as a central repository for all project-related information, including documentation, reports, and communication logs. This has greatly improved our organizational efficiency and reduced the time spent searching for critical information.
Migrate to secure hosting
Don't waste your time on Redmine maintenance. Hire experts and focus on your projects
Redmine Installation & Configuration.
When a university team lacks dedicated technical resources to maintain Redmine, they face a crucial decision regarding deployment options. Here are two common approaches:
On-premises Redmine: This approach offers a high level of control and customisation, but requires technical expertise to install, configure and maintain. You'll have full control over your data and security, but there's a higher initial cost and Redmine maintenance.
Cloud Redmine: Ready-to-use RedmineUP Cloud is easier to set up and manage. It comes with automatic updates and security patches, and you can easily scale your Redmine instance as your needs grow. However, you'll be relying on third party service providers for security and data privacy.
Consider factors such as technical expertise (Ruby, Linux, PostgreSQL, Nginx) security requirements, budget and scalability when making your decision.
